Why is Simple Accounting different?

Simple Accounting Limited operates differently to other external accountants.

Most external accountants have their own sets of books. These duplicate the cashbook and the purchase and sales ledger daybooks that are kept locally by a client.

That is not the way we operate.

Instead, everything is squared, even the books themselves. MYOB has to be right and verifiable. The balances that come out of MYOB are the exact balances that are used in the final accounts. Every year-end adjustment is squared back in the system.

At the year-end, therefore, what we are after is a balance sheet that has been worked jointly by us both. If you cannot provide this, with our help if necessary, then we cannot take you on as a client.

Year End File

When you come to the year end, our standard practice is to create a manual year-end file. This is a physical record for the future. It is particularly useful if you change your accountant, sell your business or suffer a tax investigation. It is proof that your balance sheet is accurate. This includes the values outstanding for the many classes of tax your business pays: PAYE, NI, Class 1a NI, VAT, Corporation or business Tax, Income tax on interest paid.

You collect copies of the various justifications we use in the year end file for 2008/9. We copy things like Bank Statements, Debtors and Creditors Reconciliation [Detail] reports, photocopies of emails, and any of the prepaid or accrued bills, leases. You put all the calculations that you have made relating to the year end in one single place. 

You print off the Balance Sheet and the Profit & Loss from MYOB to then show to the external accountant along with the file. Having papers all in one place you can avoid the confusion next year. We will need to refer to these papers again in the following year.

MYOB is unusual in that it is a full blown bookkeeping system that is both amendable, works on Apple computers, and can be networked.

This is why I have become an enthusiast for MYOB. Since 1994 I have worked continually on MYOB, so I know the program intimately. I have installed and developed many accounts systems (some costing thousands) but this is the only one I personally recommend.
